Reconcile every bank and credit card account to confirm balances before migration. Unreconciled accounts create post-migration verification problems.
Complete Outstanding Payroll and Tax Tasks
Finish all payroll runs and tax payments before migrating. The migration tool does not automatically convert historical payroll data—you'll need to manually enter year-to-date figures for each employee.
Print Key Reports for Verification
Print these reports from QuickBooks Desktop before migration:

Step 1: Switch to Single-User Mode
Go to File > Switch to Single-User Mode. The migration tool requires single-user mode.
Step 2: Launch the Migration ToolIn QuickBooks Desktop, go to Company > Export Company File to QuickBooks Online.
If you don't see this option, update QuickBooks Desktop via Help > Update QuickBooks Desktop.
Step 3: Log In and Select Target CompanySign in with your Intuit account and select the QuickBooks Online company to receive the data.
Important: Do not create a new QuickBooks Online company here—it generates an additional subscription.
Step 4: Handle Inventory Import (If Applicable)If importing inventory (2016 or later), enter an "as of" date. Use the first day following your company's last tax filing period to avoid needing amended tax returns.

If migration fails with "Migration Failed Unexpectedly," work through these fixes in order.
Fix 1: Verify and Rebuild Data
The most common cause is company file corruption.
Fix 2: Update QuickBooks Desktop
Outdated versions cause compatibility failures.
Fix 3: Move File to Local Drive
Network drives or cloud-synced folders cause access conflicts.
Fix 4: Disable Antivirus and Firewall Temporarily
Security software can block the migration tool from reaching Intuit servers.
Fix 5: Run as Administrator
Insufficient permissions block migration.
Fix 6: Run Migration Tool in Compatibility Mode
OS conflicts can cause failure.
Migration "completion" does not mean migration "accuracy." This is the most common false assumption.
Compare Financial Reports
Watch for Suspense Accounts
The migration tool may route sales tax liabilities to Suspense accounts. Review each Suspense account, delete migrated tax payments, and recreate them in the QuickBooks Online Sales Tax Center.
Verify Payroll Data
The migration tool does not automatically convert historical payroll data. Manually enter year-to-date payroll figures for each employee. Cross-reference against the Desktop Payroll Details Report.
Check Bank Reconciliation Status
Bank reconciliation history does not transfer. You must reconcile from scratch in QuickBooks Online.
